§ Correspondence

Write to the practice.

We reply to every serious enquiry, whether it becomes an engagement or not. A short written note describing the situation is enough for a first conversation.

§ 02 — Areas of inquiry

New engagements

Project scoping, architecture review, engineering partnerships and any question about how we might work together.

Technical support

Support for systems already delivered by the practice, including monitoring, upgrades, incident response and maintenance.

Privacy & data

Requests relating to personal data, privacy rights, and any question arising from the Privacy Policy.

§ 03 — Project inquiries

Project inquiries.

A first note is most useful when it describes three things: the situation you are working on today, the outcome you would like in six to twelve months, and any constraints (regulatory, technical or organisational) that will shape the work.

You do not need to arrive with a completed specification. We expect to spend a short discovery period turning a rough description into a written architecture brief before any implementation is agreed.

§ 04 — Technical support

Technical support.

Existing support clients should reference their engagement number in the subject line so the message reaches the relevant engineering contact directly. Please include a concise summary of the observed behaviour, when it began, and the environment in which it was observed.

For urgent production incidents on an active support arrangement, follow the escalation path documented in the runbook for your system.

§ 05 — Privacy requests

Privacy-related correspondence.

To exercise any right described in the Privacy Policy — access, correction, deletion, withdrawal of consent, or a privacy-specific question — write to [email protected] and reference the Privacy Policy in the subject line.

Please include enough detail for us to identify the relevant records without collecting more personal data than necessary.

§ 06 — Communication process

  1. Step 01

    Acknowledgement

Every enquiry received during a working week is acknowledged within a short and reasonable period, in writing.

  2. Step 02

    Assessment

The note is read by an engineer, not a triage layer. If clarifying information is needed to answer well, we ask before answering.

  3. Step 03

    Response

For general enquiries, we reply with a substantive answer. For potential engagements, we propose a short exploratory conversation.

  4. Step 04

    Follow-up

If an engagement is agreed, the discovery phase begins with a written brief. If it is not, we say so directly and keep the correspondence on file.
